1. No Refunds Policy

ProcessMyDocs operates on a prepaid, no-refund basis. All subscription payments are final and non-refundable once processed. By subscribing to ProcessMyDocs, you acknowledge and agree that all payments are non-refundable under any circumstances.

⚠️ Important: There are no refunds for unused time, unused document credits, or any other reason. Please ensure you understand this policy before subscribing.

2. Monthly Subscription Model

ProcessMyDocs uses a monthly subscription model:

  • Monthly Billing: Subscriptions are billed monthly and automatically renew each month
  • Immediate Access: Upon payment, you immediately receive access to your plan's features and monthly limits
  • Automatic Renewal: Your subscription will automatically renew each month unless cancelled
  • 7-Day Reminder: You will receive an in-app reminder 7 days before your billing date

All subscription payments are final and non-refundable.

3. Why We Have a No-Refund Policy

Our no-refund policy exists for the following reasons:

  • Prepaid Model: You purchase access in advance, similar to prepaid credits or gift cards
  • Immediate Access: You gain instant access to all plan features, document processing, and AI services upon payment
  • Resource Allocation: We allocate AI model usage, storage, and processing resources based on your subscription
  • Service Delivery: Once documents are processed and data is extracted, the service has been delivered
  • Fair Pricing: Our monthly prices ($30-$90) reflect the prepaid, non-refundable model

4. Monthly Subscription

ProcessMyDocs subscriptions are billed monthly:

Subscriptions are billed monthly and automatically renew each month. No refunds for unused days in the month.

All subscription payments are final and non-refundable.

5. Cancellation Process

You can cancel your subscription at any time, but no refunds will be issued:

  • Cancel Anytime: You can cancel your subscription from your account settings
  • Access Until Expiry: You will retain full access until the end of your current billing period
  • No Refund: You will not receive a refund for the remaining time in your billing period
  • No Renewal: Your subscription will not renew, and you will not receive renewal reminders
  • Data Retention: Your documents and data remain accessible until expiration, then for 30 days afterward

To cancel, simply do not renew when you receive the 7-day payment reminder. No action is required beyond not making a payment.

6. What Happens When Your Subscription Expires

If you do not renew your subscription before the billing date:

  • Automatic Logout: You will be automatically logged out of your account
  • Access Suspended: You cannot process documents or access features
  • Reactivation: You can reactivate by signing in and selecting a new plan
  • Data Deletion: Your documents and data may be permanently deleted

7. Unused Credits and Features

No refunds are provided for unused credits or features:

  • Unused Documents: If you don't use all your monthly document credits, they do not roll over and no refund is provided
  • Unused Chat Queries: If you don't use all your AI chat queries, no refund is provided
  • Unused Features: If you don't use certain features (exports, analytics, validation), no refund is provided
  • Early Cancellation: If you cancel before your billing period ends, no prorated refund is provided

You are paying for access to the service and its features, not just for usage. All limits reset monthly on your billing date.

8. Payment Failures

If a payment fails during renewal:

  • Payment Processing: Payments are processed by Stripe (USA)
  • Account Expiration: If payment fails, your account will expire
  • No Partial Refunds: If a duplicate payment occurs due to an error, contact support for resolution

9. Billing Disputes

If you believe there has been a billing error:

  • Contact Support: Email our support team immediately with details of the disputed charge
  • Provide Information: Include your account email, transaction ID, and description of the issue
  • Investigation: We will investigate the issue and respond within 5-7 business days
  • Resolution: If we confirm an error, we will work with Stripe to resolve it

Billing disputes must be raised within 30 days of the transaction. Valid billing errors may be eligible for correction, but this does not constitute a refund for change of mind or dissatisfaction.

10. Service Issues and Downtime

No refunds are provided for service interruptions or technical issues:

  • Temporary Outages: Brief service interruptions do not qualify for refunds
  • Maintenance: Scheduled maintenance windows are not eligible for refunds
  • Third-Party Issues: Downtime caused by Supabase, OpenRouter, DodoPayments, or other providers is not eligible for refunds
  • Best Efforts: We make reasonable efforts to maintain 99%+ uptime but do not guarantee uninterrupted service

11. Account Termination by ProcessMyDocs

If we terminate your account due to Terms of Service violations:

  • No Refund: You will not receive a refund for the remaining subscription period
  • Immediate Access Loss: You will immediately lose access to the service and your data
  • Data Deletion: Your data may be deleted immediately or after a brief retention period
  • Final Decision: Our decision to terminate is final and not subject to refund

12. Chargebacks and Payment Disputes

Important Notice About Chargebacks:

  • Contact First: Before initiating a chargeback with your bank or credit card company, please contact our support team
  • Account Suspension: Chargebacks may result in immediate account suspension
  • Chargeback Fees: You may be liable for any fees incurred due to invalid chargebacks
  • Evidence: We will provide evidence of service delivery to payment processors for valid charges

Initiating a chargeback when you have received the service as purchased may be considered fraud. Please work with us directly to resolve any concerns.

13. Exceptions to This Policy

There are no exceptions to our no-refund policy, including but not limited to:

  • Change of mind after purchase
  • Not using the service or features
  • Not liking the AI extraction accuracy
  • Technical difficulties on your end (internet connection, device compatibility)
  • Finding an alternative service
  • Forgetting to cancel before renewal reminder
  • Any other reason not explicitly mentioned as a valid billing error

The only potential exception is a confirmed billing error (e.g., duplicate charge due to technical error), which will be investigated on a case-by-case basis.

14. Understanding Before You Subscribe

Before subscribing to ProcessMyDocs, please ensure you understand:

  • All payments are non-refundable
  • You will receive a 7-day reminder before your billing date
  • Subscriptions automatically renew monthly unless cancelled
  • Unused document credits and chat queries do not roll over
  • Cancellation does not result in a prorated refund
